Administrative Assistant Summer 2007 Quarterly Report

 

            OAEMS always looks forward to having a conference in Marietta, and the spring conference there was not disappointing.  The attendees were given informative classes and enjoyed the camaraderie that took place during the hospitality hours in the evenings.  Thank you very much to Ryan and his entire committee for assisting OAEMS in creating another successful conference.   

The vendors were given the new contract for our summer conference-most had already been sent this via email-and I spoke with many of them about sponsorship opportunities.  All of the corporate members and vendors are sent information on upcoming conferences, corporate benefits and sponsorship opportunities each quarter.  Some of them I will contact more often, if an interest is expressed.  For example, some of our corporate members bought ads in our summer conference brochure, which is not only appreciated, but will help offset the cost of that brochure.   

There are some new vendors at this conference.  Summit Glove and Cardiac Science are very excited to see what OAEMS is about and hope their information will benefit your organization. These corporate members, many of them being exhibitors or sponsors, are a great way for us to get our name spread throughout the state.  These are usually larger institutions and corporations with the ability of reaching many EMS individuals.  Year after year, many of our vendors continue to attend our conference. Whatever may be the case, they feel the same as we do-they want to better the EMS community through education and service.  I have corporate membership sheets available at the registration desk. If you know of an organization that may be interested in attending a conference, please give me their name and contact person and I will contact them.  I would like to thank OSU Medical Center for their generous contribution at this conference.  

A great supporting branch for OAEMS is the unit members.  Some pay for their members to attend the conference at a discounted rate, while other enjoys receiving our information.  If you know of a unit that would be interested in joining please contact me.  I sent out a bulk renewal with the summer and fall conference information to many of the units that we haven’t seen attending for some time.  I noticed that some have rejoined!!   If you would like to become a county representative for OAEMS, and contact units, hospitals and other EMS service industries please sign up with me.  I will assist you in any contacts you may find and will answer any question you may have.  We are looking for some determined County Representatives to help us raise our membership!! 

I have put together a list of names that regularly attend our conferences.  If you are on this list, I may be contacting you for a county representative position.  I will send, or email information for distribution in your area-it just helps OAEMS especially when there is conference in you area. Think about it please. 

Not only was a bulk renewal sent out to units, but I sent out many brochures and flyers to many of our members. This is beneficial since some of our members have to do put in for work off or purchase orders early.  It is financially feasible since renewals are sent with this information.

Fall information will be available at the registration desk.  We are lucky enough to have some great individuals from the Springfield area assisting OAEMS in the development of a successful conference. If you are from this area please let me know of any corporations or EMS related organizations.  I will contact them and try to generate interest for our conference.   

Exhibit and sponsorship packets will be sent out immediately following this conference.  Thank you letters will be mailed to the vendors and sponsors attributing to the conference.  I am keeping track of the vendors that attend the conferences.  This will eliminate the financial expense of sending out packets to those vendors who haven’t attended in many years. Development of an accurate data base is necessary for name recognition and our success.  I am contacted more often now by our vendors and many have some very interesting thoughts on how to create a better conference for our members and in turn generate name recognition for OAEMS.  

For this conference I did travel throughout the Columbus area meeting with numerous potential sponsors and advertisers.  Some of the local businesses donated coupons, advertisement, door prizes etc.  I have been utilizing the internet and contacted local new stations and some newspapers.  This is a great way to advertise to health and EMS personnel what OAEMS has to offer to the EMS community.  I do enjoy doing this type of fund raising and will continue it for each conference.   

The summer conference always seems to have many walk-ins; which are always welcomed; however, it is so wonderful to receive the early registrations.  That way OAEMS can be sure that the space is ready and the meals are made. Sign up now for fall!! 

            It is important to realize that the Ohio Association of Emergency Medical Services would not exist if it weren’t for its members I would consider many of the members of OAEMS to be my friends and that makes me want to work harder to make sure that this organization is more successful each year.  I am at the registration desk, not only because I need to pass out your nametags, but for you.  If you have any questions, comments, or concerns, know that I will take it seriously and deal with it promptly.  My goal is to have the membership realize that I work for them-making myself available during the conference and always returning phone calls promptly from the office.   

            If you have a suggestion that would make The Ohio Association of Emergency Medical Services more successful, please let me know. If it’s do-able I will do it. I will always follow through and look forward to working for you in the future.  I very much enjoy being part of an organization that is always trying to find way to be successful.
