Marketing & Publication Administrator Annual 2009 Spring Report

Of course, I would like to thank all that assisted in the Spring Conference. For OAEMS to be successful, it is necessary there be new members continually joining throughout the year and this conference did not disappoint in achieving this goal.  We had more walk ins than usual and some of these individuals joined.   The attendance at the county representative and membership meetings is beginning to grow, which proves that the interest in the future of OAEMS is becoming important to more and more individuals.  I do hope the ideas that are generated from these meetings will be implemented. Thank you to those who were willing to participate.

As suggested during the membership meeting, I did email a reminder to each attendee of this conference.  In this email I asked for the individual’s EMS affiliation for their nametags.  This was recommended by the vendors during the last meeting.  It does create a professional look to the nametags and assists the vendors in knowing the location of the attendee’s department.  Suggestions such as these are simple but effective and are how OAEMS will continue to grow and flourish in the future.

In order for OAEMS to succeed we need to continually increase our membership-individual, unit, corporate.  To retain this goal I have been sending out renewals inside each mailing brochure and to all units and corporate members on our mailing list accordingly.  I have dropped off countless brochures, magazines, and teaser sheets to hospitals in the Columbus area and many to where I travel.

I contacted potential exhibitors and new departments to advertise this conference and the benefits of joining OAEMS.  There are some new individuals attending and five new vendors.  Our goal is to achieve this type of success for each conference.

I need contact information, too.  I would like for any of you not receiving the mailings to come and check you address for correct information.  The U S Postal Service is the most important tool that we have to distribute our information.  I would like to ask that each of you send me one contact-whether it is for an individual, department or large corporation.   If we work as a team, I know we can reach many more individuals thus spreading our name and mission.

One way to let others know of our organization is to allow our Corporate Sponsors to assist us.   Our representative from Assure America, Amy Stover, would like the contact information for your department to allow her to give a quote.  OAEMS does endorse Assure America and Amy is here to answer any questions or concerns you may have.  Assure America does want OAEMS to succeed and is willing to purchase advertisement in each of our publications, please, return their support.

It was very difficult to achieve OAEMS goal of sponsorship this quarter.  With the economy many businesses, large and small, stated they are only giving to Churches and Schools in their area right now.  I will continue to solicit for OAEMS funds because every amount is more than we had and will allow us to provide better services for our members.

Just as I do every quarter, I mailed out conference contracts, program rate advertisements, magazines and brochures to our members.  I do create all of these publications and am willing to listen to ideas that may benefit this organization.  I would like to ask, as I do each quarter, for articles and pictures from you.  This is our magazine and should reflect not only information about our organization, but what our members think is relevant.

I created the Summer Conference teasers, contracts and program rates for this conference and mailed them. I have begun to follow up on these and found that the more individuals are reminded of an opportunity the more likely they will respond.  It does require a little more work, but the outcome is worth it.  It generates more income and assists in our attendance.

Attendance for our HazMat, ACLS and EMT-P/EMT-B was not as successful as we had hoped, but OAEMS will try to advertise more thoroughly the next time we offer this type of Pre Conference.  OAEMS will continue to offer quality classes at discounted rates to benefit our attendees and attract new members.

I published the 2009 Summer conference programs, Fall teasers and Exhibit contracts, Sponsorship and Donation letters for the next conference.  These are available at the registration table.  If you would like to pass out this information to your area, I will email the sheets.   As mentioned previously, if you would like for me to communicate to a department or individual concerning OAEMS, just send me their contact information.

Your welcome packets have important information for you to read regarding policies of OAEMS.  Please, take the time to look through these.

OAEMS is a growing source of information, education and camaraderie for Ohio’s EMS community.  This is possible through the hard work of your Executive Board, Office personnel, and YOU.  For this to continue, OAEMS must listen to its’ members and expand on what works and eliminate what doesn’t.  If you have any suggestions that will benefit OAEMS do not hesitate to let it be known.

I look forward to working for you in the future and know that we as a whole can create an organization that will continue to grow.

Sincerely,

Kat Sayre
